Time Blocking: A Productivity Method You Should Try

Hello! Today, I will share to you an effective productivity method I use these days.

Time blocking: What you need to know!

Do you feel guilty of not being able to accomplish something productive each day? Well, it's never too late to get out of the bed, set yourself free from procrastination, get your acts together and finally do things that truly matter. I introduce you to Time Blocking, a productivity method that will surely change your time scheduling.

What is Time Blocking?

Time blocking involves the establishment of time frame so you can keep time on track, accomplish tasks and remain focused. It lets you become organized and manage your time. In this method, you schedule your day up to the last minute and divide each of your activities to blocks of time. Simply put, you will make a detailed to-do-list for the day. But for it to become effective, you have to follow through the list of activities and fulfill the task for each block in the time frame before going on to the next activity.

In this way, you will not waste time on deciding what to do in your day as the things-to-do are already planned out. This will guard you from distraction and at the same time, it will keep you focused on the task at hand. For me, having a planned schedule is much more practical than multi-tasking since it makes you get the job done not just faster, but also better. After all, productivity doesn't only focus on efficiency. It is also determined by how effective you can make out of the task.

Steps in Time Blocking

  1. Know your goals and activities for the day and separate them from most important to least important.
  2. Start creating blocks for your time outside of work (morning routines, time with family/friends etc.)
  3. Put your most important activity when you are high in energy (This is determined whether you are a morning or nocturnal person).
  4. Add blocks for reactive tasks each day (emails, calls, meetings).
  5. Include your daily to-do-list in the blocks.

I use plan.com in time blocking since it is integrated with google calendar. But there are other applications available such as Clocktify, Week Plan, and Hour Stack. However, you can use a mere google calendar but I find it a bit of a hassle. A pen and paper can do the job as well like the one below.

Tips in Time Blocking

  • For beginners, you should overestimate the time needed for an activity so that you would not rush it if not finished at the set time.
  • Put a time block for relaxation. This is good to prevent over fatigue from continuous work.
  • Do revisions on your time blocking schedule if needed since there are unexpected occasions.

Happy Time Blocking!
