AI AGENT ASSISTANT FOR LEAD QUALIFICATION AND AUTO RESPONSE

(Chatbot Agent and/ or AI Agent)

A real estate agent has a form that needs to be filled out or needs to define if a client is a qualifying lead, or not, and then redirect and or close on the client with proper information after (this is the automation response, whether through email or text back to the client or users that fill out a form). So, if a potential client qualifies or doesn't, the AI agent routes them properly to more information and or the Real Estate Agents' next steps.

Pros: This helps with productivity, because this system will be based on your needs and requirements, and runs 24/7, and while you’re busy, away, and let's say already on a showing.

Cons: Learning and managing this new system and technology. AI is becoming cheaper per monthly subscription, so the hardest part I would see is getting a system set up and then not knowing how to fix it yourself.

CLIENT AND LEAD FOLLOW-UP AUTO PILOT

Automate and set up a scheduled automation to email and or text clients and or leads on a daily, hourly, monthly, and or proportional basis on autopilot, but not just some basic email, no, fully designed and personalized email based on your data and the branding you want.

MARKETING CONTENT CREATION MATERIAL

AI isn't going anywhere, so yes, we have to adapt to the AI artwork, images, and video generation and use them in our business use case. They even have ways to make an AI Avatar, and or an AI avatar clone of yourself .

We will cover basic marketing with image generation and video generation on the same standards as the others, based on your branding, message, and or data, basically, how you want. You set up basic real estate marketing images of yourself, digital products, or available listings, and auto-post to your social media platforms. You can then connect to or pay for a video generation model to make marketing videos, such as flyover drone shots of properties and/or listings, and post them to your social media and business platforms.

Basic guide to tools and platforms to use with this to learn and or do on your own

The basis of this is the advancement of this tech called AI, an actual use case, how it helps with time and productivity, and then also how to adapt to today's times. We have to adapt to the advancement of technology that is changing society.

SMS/Text + Voice/Call Platforms

  • Plivo – Super developer-friendly, global SMS/voice/MMS, cheaper than Twilio, simpler A2P compliance for smaller senders. Great for AI agents.
    https://www.plivo.com/
  • Telnyx – Private network (better quality), 24/7 support, advanced Voice AI tools, often 30-70% cheaper than Twilio. Easy portal signup.
    https://telnyx.com/
  • Vonage (Nexmo) – Strong global reach, SMS/voice/video, good for enterprises but still easier docs than Twilio.
    https://www.vonage.com/communications-apis/
  • Bird (formerly MessageBird) – Omnichannel (SMS + WhatsApp + voice), visual workflows, streamlined registration for lower volumes.
    https://bird.com/
  • Twilio - Email + phone verify. Trial: only sends to verified numbers. Full use needs A2P 10DLC or Toll-Free registration (business info, sometimes more docs). Can feel heavier for new/small users.
  • $0.0075+/SMS, $0.013+/min voice
  • https://www.twilio.com/

AI Agent Platforms

  • Vapi – Core platform for voice AI agents (phone calls, chatbots). Connects to your LLM, handles calls natively or via providers above.
    https://vapi.ai/
  • ElevenLabs – Best-in-class realistic voice (TTS + cloning), now full conversational AI agents + chatbots.
    https://elevenlabs.io/
  • Retell AI – Excellent Vapi alternative: low-latency voice agents, flexible LLM integration, outbound calling.
    https://www.retellai.com/
  • Bland AI – Scalable enterprise voice agents (inbound/outbound calls), strong memory/compliance.
    https://www.bland.ai/

Booking/Scheduling Platforms

  • Cal.com – Open-source, API-first, embeds anywhere, AI phone booking agent available, connects to your AI tools.
    https://cal.com/
  • Zeeg – Smart routing + built-in AI voice agent that answers calls and books meetings (no extra setup).
    https://zeeg.me/
  • Calendly – Most popular, solid API + AI features, easy integrations.
    https://calendly.com/

Others: Acuity Scheduling (payments + services), SavvyCal (team-focused).

Easy Data Storage

  • Google Sheets – Everyone knows it. Free API access via Google Apps Script or easy connectors. Great starting point.
    → sheets.google.com
  • Google Docs – For notes/contracts alongside Sheets.

Better database options (still free/easy):

  • Supabase – Free-tier Postgres database + realtime + auth + storage. Feels like Firebase but SQL. AI agents love the API.
    https://supabase.com/
  • Astra DB (DataStax) – Free tier Cassandra/JSON database, serverless, great for scalable leads data.
    https://www.datastax.com/products/astra-db
  • Airtable – Spreadsheet + real database, forms, automations, free tier. Very visual.
    https://airtable.com/
  • Firebase – Google’s free tier (great for mobile/realtime apps).
    https://firebase.google.com/
  • Notion (or Notion Databases) – Free personal, super easy for docs + structured data.

This is just a basic rundown of some of the tools, systems, and or platforms that can easily be connected to run this fully by yourself and in control. A few cons are giving the AI agent a text number (cost and verification), email configuration (I like to refer to Composio.dev), API key setup depending on what LLMs you will want to use, Claude, ChatGPT, Mistral, and many more.

With content generation, choosing an LLM or platform will determine which one you will use for image generation and which one to use for video generation. Examples are google api for Nano banana and they Google Veo3 for video generation, the fee api iusege covers a certain amount of images and videos you can create a day, and or per credits.

(There are free models, but the cheaper the model, the lower the quality. We do advise using free and/or cheap models for testing)

This may seem like a lot, or you don't want to get into the shift of technology when it comes to  Artificial Intelligence. I understand, so there are easier ways to do this and with probably existing platforms that you already use, like Claude, which is definitely the top choice, and now has a desktop feature and dispatch feature which allows users to control Claude through Claude cowork, directly from your phone and or connected messaging apps.

You have Manus.im, which has also made an AI agent feature that now has multiple integrations like Gmail and Slack to automate tasks with AI Agents. This might seem like a lot, but this is definitely the time to learn and just take your time.

My name is Daniel, and I am a father, small business start-up owner, and freelancer when it comes to development with artificial intelligence, AI. I'm writing this not just to inform but also to pitch my talents and or services.

Meaning if you need any help with this, the ways and how to set up, or a free consultation on developing an AI product or software. I would love for you to contact me and or book a free consultation.
